Template: a meeting request email

A meeting request works best after the prospect has shown interest, not as the first message. Keep it short: what the call is for, how long it takes, two concrete times or a link, and an easy way to say not now. Below are three versions: two times, a booking link and a nudge.

The text

Placeholders in square brackets are yours to fill. The wording is ours, not a quote from a customer.
Version 1: two times
Subject: 15 minutes on [topic]

Hi [first name],

Thanks for the reply. A short call would be the quickest way to see whether [what you offer] fits [Company]. Would [day, time] or [day, time] [time zone] work for 15 minutes?

[Name]
Version 2: a booking link
Subject: 15 minutes on [topic]

Hi [first name],

Glad it is relevant. Here is my calendar if you want to pick a time: [link]. Fifteen minutes is enough to see whether it is worth going further.

[Name]
Version 3: a nudge, a few days later
Hi [first name], just making sure the link reached you: [link]. If this week is busy, next week works too.

Why each line is there

Line by line
After interest onlyA meeting ask in a first message is easy to ignore.
What the call is forA clear purpose makes it easier to say yes.
Fifteen minutesA small time ask lowers the bar.
Two times or a linkConcrete options remove back and forth.
A nudgePeople who meant to book often forget; one reminder helps.

What it measured

Not these exact words. In the wealth advisor referral network campaign, a short nudge after the booking link brought prospects back: 48 of 111 linked threads booked only after at least one nudge. In the ShortVibe study, the booking link usually went out only after a yes.

When not to use it

  • As the first message to someone who has not replied.
  • When the person asked for information first; send it before asking for a call.
  • More than once or twice after the link; then stop.

How to use it in Sellinger

Add your calendar link to a booking goal, and the agent sends it after interest. The book meetings goal templates include one that offers the link only after real interest. Leave it to the agent, which writes each message from the lead's own data and your persona, or paste this text into a step in Flow-Maker in the campaign's configuration drawer. The step's instruction box personalises a pasted message with the lead's data, so read the first sends before you widen the campaign.

Common questions

Should I send a calendar link in a cold email?
Usually not in the first message. Send it after the person shows interest.
How long should a first sales meeting be?
Fifteen to thirty minutes. A shorter ask is easier to accept.
What if they do not book after I send the link?
One short nudge a few days later, then stop.
