Best CRM for WhatsApp, LinkedIn and email outreach in one inbox
By Asen Levov, co-founder of Sellinger. Reviewed by Viktorio Shopov. Published . Last updated . 8 minute read.
HubSpot and Pipedrive both document a WhatsApp Business integration that logs messages against contacts and deals, and both follow Meta's 24 hour window and template rules. Neither page we read describes LinkedIn conversations inside the same inbox. Sellinger is built the other way round: an outreach agent with a built in CRM that keeps LinkedIn, email, WhatsApp and Instagram threads on one lead. We make Sellinger, so weigh this list accordingly.
"Best CRM for WhatsApp" is really two questions. One is where a team's deals and contacts live. The other is where conversations on WhatsApp, LinkedIn and email happen, and whether one person can see the whole thread. Most CRMs answer the first well. Fewer answer the second across LinkedIn. This post reads the vendors' own documentation, dated, and says what each page does and does not claim. We did not test the products, and prices change, so we give plan requirements and leave price tables to the vendors.
What should a CRM do for multichannel outreach?
Five things, in order of how often teams miss them:
- One lead, one thread. A person who wrote on LinkedIn on Monday and WhatsApp on Friday should look like one person.
- The channel rules built in. On WhatsApp, the 24 hour window and the template rule decide what you can send.
- Handover. A salesperson can take over a thread and give it back.
- Opt outs everywhere. A stop on one channel stops all of them.
- Reporting that counts people, not messages.
What do HubSpot, Pipedrive and Zoho document for WhatsApp?
| HubSpot | Pipedrive | Zoho CRM | |
|---|---|---|---|
| How it connects | WhatsApp Business account through Meta's setup, into the conversations inbox | WhatsApp Business account syncs conversations, contacts and deal data | WhatsApp for Business integration (blog dated 16 May 2024) |
| Plan requirement | Marketing Hub or Service Hub Professional or Enterprise | The page says only "free if included with your plan"; another Pipedrive page describes a beta on higher plans, so confirm | Not stated in the page we read |
| Personal WhatsApp numbers | Not allowed; Business account only | Not stated | Not stated |
| History | Only messages after you connect | Conversations appear in deal and person views | Interactions recorded against the customer profile |
| First message to a contact | Template message needed after the 24 hour session closes | Template needed if they have not messaged you in 24 hours | Not stated in the page we read |
| Template volume | 1,000 a month included, shared; verified business needed for more than 50 business initiated conversations a day | Meta charges per template; Pipedrive's page says roughly $0.01 to $0.10 | Not stated |
| LinkedIn in the same inbox | Not described | Not described | Not described |
Sources and dates are listed at the end. Read the "not stated" cells as "not in the page we read", not as "not supported".
Where Sellinger differs
Sellinger is an AI SDR first. It finds buyers, writes to each one on LinkedIn, email or WhatsApp, answers replies and books meetings, and it keeps a CRM with contacts, deals and the whole conversation history across channels. Instagram and live chat feed into the same lead.
Two differences matter for this question:
- WhatsApp works through your connected account. You link the account on your phone by QR code, and Sellinger does not use the WhatsApp Business API. It answers people who write first and can send first messages and follow ups at a small daily volume, because WhatsApp itself limits outbound messaging. The trade off is that WhatsApp's rules for that account apply, which our post on WhatsApp Business API cost explains.
- LinkedIn is a main channel. Invitations, messages and replies sit on the lead next to email and WhatsApp.
HubSpot is a two way sync. Salesforce, Pipedrive and Zoho connectors are coming soon, not live. A CRM that tracks deals for a whole company with custom objects and forecasting is a different job, and we do not claim to replace that.
Which should you pick?
| Your situation | Likely fit |
|---|---|
| Support and sales on WhatsApp Business, already on HubSpot Professional | HubSpot's WhatsApp channel |
| A sales team on Pipedrive that wants WhatsApp logged to deals | Pipedrive's integration |
| Outbound across LinkedIn, email and WhatsApp, with agents doing the first touches | An outreach agent with a built in CRM, such as Sellinger |
| A full company CRM plus outbound | Your CRM, plus an outreach agent that syncs to it |
Our comparison of AI CRM tools covers the wider field, and the post on choosing a CRM for LinkedIn outreach goes through the LinkedIn side.
Questions to ask any vendor
- Does the WhatsApp channel use the Business API, a linked account, or both?
- What happens to the thread when a person takes over?
- Does a stop on one channel stop all of them?
- Can I see LinkedIn messages in the same inbox, and how are they captured?
- What does it cost at my message volume, and who bills it?
- What happens to my history if I leave?
What about Salesforce and the others?
We did not review Salesforce, Zoho's current documentation in depth, or the many smaller WhatsApp inbox tools, because we could not read a current vendor page for each in this session. A shortlist that skips them is not a verdict on them. If your company already runs Salesforce, the useful question is not "which CRM has WhatsApp" but "what connects my outreach tool to Salesforce". Sellinger lists Salesforce as coming soon, so today the honest answer for Sellinger is an export or the REST API with webhooks, which is available from the Full Stack bundle up.
How do you run a fair test in a week?
- Pick ten real conversations from the last month: three inquiries, three replies to outreach, two complaints, two opt outs.
- Replay them in each product's trial, using test numbers or test accounts, not customers.
- Score five lines from 0 to 2: one lead one thread, correct handling of the 24 hour rule, handover, opt out across channels, reporting.
- Count clicks for the handover and the opt out. Both should take seconds.
- Price your volume with the vendor's own calculator, including the WhatsApp message fees Meta charges on the official API.
Write down the date you tested. Products and prices change, and so will this page. We plan to refresh it when the vendors' documentation changes.
Our own reading of the evidence
We rely on vendor pages here, and vendor pages describe features, not results. We have not benchmarked response times or delivery for any CRM named. The only result we can show is from our own hotel, a related party, where the reservations agent answered inquiries with a median first reply of 41 seconds over 54 inquiries, across channels. It shows what one thread per person makes possible, not that any particular CRM is better.
