What is CRM data hygiene?
CRM data hygiene is the habit of keeping customer records accurate, complete and free of duplicates: correct names, roles and companies, one record per person, and conversation history attached. Poor hygiene leads to messages sent twice, to the wrong person or after someone asked to stop, and to reports nobody trusts.

What does bad data cost?
| Problem | What it causes |
|---|---|
| Duplicates | Two reps write to the same person; reports double count |
| Stale roles | Messages about a job the person left |
| Missing opt outs | Messages to people who asked to stop |
| No conversation history | New owners start from zero |
| Free text fields | Reports that cannot be filtered |
What habits keep data clean?
- Prevent duplicates at import, not after.
- Merge duplicates on a schedule, keeping the better record.
- Re check roles before a campaign, because people move.
- Keep opt outs in one team wide list that every channel checks.
- Use picklists instead of free text for key fields.
Who owns it?
Someone has to, or nobody does. In larger teams revenue operations owns the rules; in small teams the sales manager does. See revenue operations and data decay.
How Sellinger handles it
Sellinger suggests duplicate pairs on its Merge Suggestions page, with the reason and a confidence score: an exact email match scores 98% and an exact phone match 95%. A merge brings the conversation history, profile data, tags and segments onto the primary lead. CSV imports skip rows already in your team. See duplicate leads: merge and prevent.
Before every send on email, LinkedIn and WhatsApp, the platform checks the team's suppression list and refuses the send when the contact is on it or when the check cannot be completed.
