Template: replying to not interested

When a prospect says they are not interested, one short, polite reply is usually the right amount. Thank them, optionally ask one question about why, and close cleanly. Never argue, and stop if they ask. Below are four versions: a clean close, a one question, a referral ask and a reconnect later.

The text

Placeholders in square brackets are yours to fill. The wording is ours, not a quote from a customer.
Version 1: a clean close
Understood, [first name], and thank you for telling me. I will not write again. All the best with [their focus].
Version 2: one optional question
Thank you for the quick answer, [first name]. If you are happy to share, was it the timing, the fit or something else? One word is plenty, and either way I will leave it there.
Version 3: a referral ask
No problem, [first name]. Is there someone on your team or in your network who handles [topic] and might see it differently? If not, I will not follow up.
Version 4: reconnect later
Understood, [first name]. If it is alright, I will check in once around [month or event], in case things have changed. Tell me if you would rather I did not.

Why each line is there

Line by line
Thank them firstA thank you turns a closed door into a clean exit, and people remember a polite sender.
Ask at most one questionA single optional question gives you learning without pressure. A list of questions reads as pushing.
A referral only if it is naturalSomeone else may own the topic. Ask once, without obligation.
Say you will stopPromising not to write again is often the reason they are willing to answer at all.

What it measured

No data yet. Sellinger has not measured results for this exact text, so this page makes no claim about replies, meetings or revenue. Measured campaigns are in the case studies.

For the wider approach, including when to log the answer and move on, read how to handle not interested in cold outreach.

When not to use it

  • When the message is a clear request to stop or unsubscribe. Confirm the stop and send nothing else.
  • When the answer is angry or about how you got their details. Use the data source template or pass it to a person.
  • When the reply is an automatic message. Not interested from a person is different from an auto reply.
  • When they said not now rather than not interested. Use the not now template.

How to use it in Sellinger

When a contact replies with an opt out such as STOP or unsubscribe, in English, Bulgarian or German among other forms, the contact goes on the team's suppression list, the agent stops and the lead is closed out. A weak or unclear phrase never writes the permanent record: the agent stops and a person decides. Add a rule for this kind of reply in the persona, or paste your preferred version into the knowledge base. Put the approved wording in a text article in a knowledge base collection and attach it to the persona, so the agent answers from it. If you would rather answer yourself, add a needs attention rule for this kind of reply, and the conversation is flagged for a person.

Common questions

Should I reply to every not interested?
A short thanks is polite and costs nothing. If the wording was a clear stop, confirm it and nothing more.
Is it ever right to push back?
Rarely. If you can add a fact they clearly lacked, say it once, kindly. Otherwise leave it.
Should I ask why?
You may, once and as optional. Do not ask if they sounded annoyed.
