Template: following up on a quote or proposal

After sending a quote, follow up within a few days to check it arrived and answer questions, then once more with a specific offer to help, then close politely. Ask what would make the decision easier, not whether they have decided. Below are the three messages.

The text

Placeholders in square brackets are yours to fill. The wording is ours, not a quote from a customer.
Version 1: a few days later
Subject: Re: Quote for [project]

Hi [first name],

Checking the quote reached you. Is anything unclear, or anything you would like changed in the scope?

[Name]
Version 2: about a week later
Hi [first name], would a 10 minute call help to go through the quote with [colleague who decides]? I can also send a version with [alternative option].
Version 3: polite close
Hi [first name], I will assume the timing or the fit was not right this time. If anything changes, the quote stays valid until [date].

Why each line is there

Line by line

Ask about scopeOpens a conversation instead of a yes or no.
Include the deciderThe person who signs may not have seen it.
A valid until dateA real date, not invented urgency.

What it measured

No data yet. Sellinger has not measured results for this exact text, so this page makes no claim about replies, meetings or revenue. Measured campaigns are in the case studies.

On quoting itself: in the Hotel Pirin study, a related party, quoting as soon as the details were known raised the share of replies with a price from 50% to 92%.

When not to use it

  • When the prospect said they chose someone else; thank them instead.
  • Daily; it reads as pressure.

How to use it in Sellinger

This message usually comes from a person, after a real conversation. You can keep a copy of the wording in a knowledge base text article so the agent follows the same pattern when it writes to someone in the same situation.

Common questions

How long should I wait to follow up on a quote?
A few days for the first check, about a week for the second.
What should I ask?
Whether anything is unclear or should change, not whether they have decided.
Should I offer a discount in the follow up?
Only an approved alternative, such as a smaller scope.
