Templates: customer survey emails
A customer survey email works when it is short, says why you are asking, says how long it takes and promises what you will do with the answer. Below are four versions: a one question reply survey, a three question link, a check in after a purchase, and a single reminder. Placeholders are yours to fill.

The text
Subject: One question about [product] Hi [first name], you have been using [product] for [time]. One question, and a one line answer is plenty: what is the one thing that would make it more useful to you? I read every reply myself, and I will tell you what we change because of it. Thank you, [your name]
Subject: Three questions, about two minutes Hi [first name], we are deciding what to build next on [product], and your view counts because you use it. Here are three questions, which take about two minutes: [survey link]. Nothing you write is shared outside our team, and I will send a short note on what we do with the answers. Thank you, [your name]
Subject: How did [order or onboarding] go? Hi [first name], it has been [number] days since [event, such as your first order or your setup call]. Did everything go as you expected? If something fell short, reply with a line and I will deal with it myself. If it went well, I would value a sentence on what worked. Thank you, [your name]
Subject: Re: Three questions, about two minutes Hi [first name], a short reminder in case my last note got buried: [survey link]. It closes on [date]. If now is not the time, no need to answer, and I will not write again about it. Thank you, [your name]
Why each line is there
| Line | Why it is there |
|---|---|
| Say why you are asking | People answer a survey when they can see it will change something. A reason in the first sentence beats a generic request for feedback. |
| Say how long it takes | A stated length such as three questions removes the fear that it will take half an hour. |
| One thing to do | A single link or a single reply keeps the effort low. Two asks in one email lower the answer rate. |
| Promise a follow up and keep it | Telling people what you did with the answers is the strongest reason for them to answer next time. |
| One reminder, then stop | A single reminder with a close date respects the reader. Repeated chasers read as pressure. |
What it measured
No data yet. Sellinger has not measured results for this exact text, so this page makes no claim about replies, meetings or revenue. Measured campaigns are in the case studies.
This page cites no survey response rate, because we have no measured figure of our own and have not cited an external one. Measure your own: responses divided by emails delivered, per version.
When not to use it
- When the person has an open support problem. Fix that first, then ask.
- When you would use the survey as a sales email. State the purpose honestly, and keep any offer for a separate message.
- When the person is a cold prospect. A survey to people who have no relationship with you is closer to a cold email, so use a cold email template instead.
- When you cannot act on the answer. Do not ask a question you will not use.
How to use it in Sellinger
Send the survey from your own mailbox so replies come to you. For customers who are also in Sellinger, a campaign can send version 1 or 3 and the agent reads the replies and flags any complaint for a person. Leave it to the agent, which writes each message from the lead's own data and your persona, or paste this text into a step in Flow-Maker in the campaign's configuration drawer. The step's instruction box personalises a pasted message with the lead's data, so read the first sends before you widen the campaign. Replies that ask to stop are handled this way: When a contact replies with an opt out such as STOP or unsubscribe, in English, Bulgarian or German among other forms, the contact goes on the team's suppression list, the agent stops and the lead is closed out. A weak or unclear phrase never writes the permanent record: the agent stops and a person decides.
