AI SDR for IT services and MSPs: outbound that reaches owners before the contract renews

Most businesses switch IT provider when something goes wrong or a contract ends, not when they get a good email. An AI SDR helps a managed service provider be the name they remember: it writes to owners and IT leads with one question about how IT is handled today, follows up patiently, watches for triggers such as a new office, and hands every technical conversation to an engineer.

Why outbound in IT services and MSPs is different

An MSP sells to two very different buyers. In a small business the owner or office manager decides, and IT is a cost they want to stop thinking about. In a larger one an IT manager decides, knows the details and is wary of anyone who might replace them. The same message cannot serve both.

The switch usually follows a trigger: an outage, a security scare, a move, new staff, a compliance demand from a customer, or the end of a contract with the current provider. Outbound works when it is there before the trigger, and when the question it asks makes the buyer think about one.

What an AI SDR does for IT services and MSPs

  • Builds lists of businesses in your area and size band, with the owner and the office manager as separate contacts.
  • Watches for triggers on LinkedIn: a New Office post, Hiring for Position in operations, or an owner asking for recommendations, which is a signal template too.
  • Asks one question about how IT is handled today, such as who they call when a laptop fails.
  • Follows up with a new angle each time: onboarding, backups, a customer's security questionnaire.
  • Collects the basics before an engineer calls: number of users, sites, current provider and contract end date if they share it.

An example sequence for IT services and MSPs

This is an example to adapt, not a campaign that ran. Change the timing, the angle and the words to fit your offer and your buyers.
  1. 1

    Day 0

    Email to the owner

One question about who handles IT today. No list of services.

  2. 2

    Day 4

    LinkedIn connection request

To the same owner or the office manager, with no note.

  3. 3

    Day 9

Follow up with a trigger question

For example, how long it takes to set up a new starter's laptop and accounts.

  4. 4

    Day 30

Check in near a likely renewal

A short note asking when their current support agreement comes up for review.

  5. 5

    Any reply

Hand to an engineer or account manager

They run the assessment and price it.

Example first message (illustrative)
Subject: who fixes the laptops?

Hi James,

When a laptop or the Wi-Fi stops working at [Company], who do your team call today?

We look after IT for [type of business] in [area]. If it is someone part time or a supplier you rarely hear from, I can share how other firms your size set it up.

[Name], [MSP]

What stays with a person

  • Assessments, audits and anything that touches the prospect's systems or credentials.
  • Pricing per user or per device, and contract terms.
  • Security questions, incidents and anything about a breach. The agent should stop and hand over at once.
  • Comments about the current provider, which a person should handle with care.
  • Technical detail beyond the short service description you approved.

The closest published evidence

The nearest published campaign is the Uberwood agency, which wrote to owners of local service businesses who are busy and sceptical of suppliers. 196 of 677 owners replied (29%). Follow ups added 43% more replies when they brought a new angle, a pain typical of the owner's industry, and beyond the second follow up very few people replied.

At Sellinger, intent signal lists replied at 55% in October 2025 and booked four times as often as untagged lists. For an MSP the equivalent is a list built from triggers, not a list built from a directory.

Rules to check before you start

Small IT buyers are often sole traders or partnerships, which some countries treat as individuals for email marketing. See is cold email legal. This is not legal advice.

Do not let the agent make security claims. A sentence like no breach can happen to our clients is a promise no provider can keep, and it invites the wrong conversation.

How to start with Sellinger

  • Pick one segment: small offices in one area, or IT managers at mid size firms. Write a separate persona for each.
  • Set up two or three triggers, such as New Office and Hiring for Position, and let the list fill from them.
  • Write the hand over rules for security, pricing and technical questions. A campaign can run in approval mode, where every message waits for a person to approve it, or send automatically. A person can take over any conversation, and the agent stops on its own when it cannot answer, for example a price it has no answer for.
  • 30 days free on messaging modules and bundles, no card. Usage modules (enrichment) start with a $10 credit.

Common questions

Can an AI SDR sell managed IT services?
It can open the conversation and find out who handles IT today. An engineer or account manager runs the assessment and prices it.
What triggers should an MSP watch for?
A new office, hiring in operations, an owner asking for IT recommendations, and the end of a support contract. Sellinger's intent signals cover the first three on LinkedIn.
Should an MSP write to the owner or the IT manager?
In small businesses the owner decides. In mid size companies the IT manager does, and wants a partner, not a replacement. Use separate campaigns.
Does Sellinger have an MSP case study?
Not yet. This page is a method guide. The numbers come from the Uberwood agency and Sellinger's own outbound.
